ESTATE MANAGEMENT · OPERATIONS DOSSIER

Customer operations for estates and facilities

Power, water, security, maintenance, visitors — reported to whoever picks up, on whichever line, and lost somewhere in a WhatsApp group.

Concierge gives the estate one number. Every report becomes a ticket with a location, an owner and a reference the resident can quote.

The operational problem

Most estates run on WhatsApp groups and personal phone lines.

A resident reports the Block C generator to reception. Another messages the facility officer. A third calls the estate manager directly. Three people now hold a piece of the same fault, nobody owns it, and the contractor may get called twice. When the resident asks what is happening, no one can say — so they ask again tomorrow.

01 · INTAKE

The same fault, reported three ways

Reception, the facility officer and the estate manager each hear part of it, at different times. No shared record means no clear owner, sometimes two contractors sent for one job, and no way to tell the resident anything useful when they ask.

02 · VISIBILITY

Silence is why they call back

Residents judge the estate on what happens after they report something, not on how the call went. With no visible next step, chasing is their only option — which adds calls to an already stretched office while the work is still going on.

03 · HISTORY

A repeat fault looks new every time

When each report lives in its own message thread, nobody notices the same pump has failed four times this quarter. Scattered notes hide the pattern that would justify replacing the unit, so the estate keeps paying for call-outs instead of fixing the cause.

The operating model

From conversation to coordinated work.

INBOUND OPERATION

One number, and every report gets a reference

Concierge answers every resident call the same way: which block, which unit, what has stopped working and how bad it is. It reads the details back so they can be corrected. Visitor and access requests follow your estate’s rules. Anything to do with security, or a sensitive complaint, goes to a person straight away. What your team receives is a proper request with a location and an owner, not another message to decode. Residents stop having to know which number reaches the right person, and management stops discovering faults second-hand, days after the first report.

  • Power, water, maintenance and environmental reports
  • Visitor and access requests, on your rules
  • Security concerns, straight to a person

CONNECTED WORK

From report to dispatch, automatically

You decide which requests Concierge may raise, which fields it writes and which queue each one goes to. It creates the ticket, attaches the location and context, and gives the resident the reference. If the system is unavailable it does not pretend the job was logged — the request goes to your team with the failure showing. Priority, contractor choice and every judgement call stay with the estate. Over time the record also shows which units and which equipment generate the most reports, which is the evidence that turns repeat call-outs into a replacement decision.

  • Raises the ticket and dispatches it
  • Routes on your own escalation rules
  • Keeps report, owner and reference together

OUTBOUND OPERATION

Tell them before they have to ask

Concierge calls residents with the status of an open job, warns affected units about planned outages, and rings back after a fix to check it actually held. It confirms who it is speaking to before sharing anything. If the resident says the problem is worse, the job goes back to your team rather than being closed. Every response attaches to the original request, so the timeline is real rather than reconstructed. Most of the chasing calls disappear, because the answer arrives before the resident has decided to ring and ask for it.

  • Status updates on open jobs
  • Planned maintenance and outage notices
  • Post-fix check-ins and feedback

REPEATABLE WORK

What Concierge does

The repeatable part, on your rules.

  • Answers resident calls, day or night
  • Captures block, unit, fault and callback number
  • Raises the ticket and dispatches it
  • Calls back with updates and after a fix

CONTEXT MOVES WITH THE CALL

The resident, the location, the fault, and why it needs a person.

HUMAN JUDGEMENT

What your team decides

Risk, priority, exceptions and everything contractual.

  • Who gets let in, and when to make an exception
  • Security incidents and anything with active risk
  • Sensitive resident complaints
  • Which contractor, and what gets fixed first
The operating environment

What we agree before go-live

One resident workflow, mapped properly: what it may say, what it may touch, and who owns it when it stops.

01

What it may say

Which calls it takes, which answers it gives, and what always goes to a person.

  • Calls in scope
  • Your estate wording
  • Off-limits details
02

What it may touch

Which request fields it writes, and what happens when a write fails.

  • Request system
  • Writable fields
  • Failure path
03

Who owns it next

Named owners across facilities and security, and the route to each.

  • Facilities and security owners
  • Escalation routes
  • Handoff summary

The benefit

What changes in an estate operation.

  • Maximize resources

Skip the capital and time cost of building an in-house front desk — a concierge is your estate’s operations desk from day one.

  • Save time

Reports move from call to dispatch to resolution automatically, closing the response gap residents notice first.

  • Improve revenue

Well-run estates retain residents longer and command stronger property value — communication is usually what separates the two.

  • Position your brand

Present your estate as a digital, modern community — the kind residents recommend, not complain about online.

See how a concierge turns resident reports into resolved tickets, automatically — with response times residents actually notice.

Inbound: every resident report answered and ticketed at any hour, without the capital cost of building a staffed front desk. Outbound: residents updated before they chase, collections improved through consistent reminders, and feedback captured after every fix — closing the exact gap residents notice first.
